Key Roles and Objectives
We are looking for an Office Executive to support routine operation and office procedures.
The appointee is responsible for providing administrative support to the Secretary General. Main duties include administering office stock, preparing regular reports (e.g., expenses and committee budgets) and organizing meetings and events.
Responsibilities
• | Assist the Secretary General in running the office administration and secretarial functions of the Secretariat. |
• | Account administration including preparation of financial reports, administration of bank and petty cash accounts and book-keeping. |
• | Connection and engagement with internal and external stakeholders. |
• | Administrative and logistics supports in committee work, seminars, professional assessment interviews and impromptu events organized by the Institute. |
• | Cross functional support to staff members to achieve corporate objectives. |
• | Ad hoc duties as assigned and directed from time to time. |
Requirement
• | University graduate preferred. |
• | Proven work experience in office administration or similar role. |
• | Solid knowledge of I.T. and office procedures; experience in committee work is a plus. |
• | Experience with office management software like MS Office (MS Excel and MS Word, specifically) and social media. |
• | Strong organization skills with a problem-solving attitude. |
• | Organized team player with excellent sense of responsibility and accountability. |
• | Excellent written and verbal communication skills in English and Chinese. |
• | Immediate available is preferred. |
